Export the patients it communicates with, match them against collected production from the practice management system, and the campaigns Solutionreach runs can be judged on money rather than on open rates.   1. Export the campaign audience

    One row per patient messaged, with a contact detail, the campaign and a send date.

  2. Export collected production

    From the practice management system: patient contact detail, amount collected, date. Collected rather than presented or scheduled.

  3. Choose a window

    Reactivation work takes months, not days. Ninety days after the send is a reasonable floor, and a year is better for treatment that needs planning and financing. Set it once and keep it, so campaigns stay comparable.

  4. Keep the other channels in the file

    A patient may have had a reminder and clicked an advert. Both belong in the lead file so the report can show the overlap rather than hiding it.

  5. Upload both

    The join runs on the phone and the email, normalised.

Reactivation is the campaign where this matters most

Every practice has a list of patients who stopped coming. Messaging them is cheap, and the industry's standard measure of success is a response rate.

A response rate cannot distinguish a patient who booked a cleaning from one who accepted a crown, and the difference between those is the whole economics of the campaign.

Matching the messaged list against collected production turns the campaign into a number. Practices that run this usually find the collected figure is either far better or far worse than the open rate suggested, and both answers change what they do next.

A reminder is not an acquisition and the report must not pretend it is

Appointment reminders reduce no-shows for patients you already have. Counted as a source, they would take credit for essentially all of your revenue.

So reminders should be labelled as what they are — retention — and kept apart from the channels that produce new patients.

The report separates first visits from subsequent production, which makes that distinction automatic rather than a matter of discipline. It also gives you a real measure of what reminders are worth, which is recovered chair time rather than new patients.

Review requests feed the channel that is hardest to attribute

Review campaigns raise the practice's local rating, and the rating changes how many people choose you from a map result weeks later.

That effect is real and genuinely unattributable at the patient level: nobody in the file can be traced back to a review somebody else left.

The honest treatment is to report the map and directory channel accurately and separately, and read review activity as a driver of it over months. What the report will not do is invent a link between a specific review and a specific patient.

That restraint costs you nothing you actually had. A tool that claims to trace a patient to a review is guessing, and a guess dressed as attribution is worse than an honest gap because you cannot see where it went wrong.

Where the phone number comes from decides whether any of this works

Messaging systems hold mobile numbers because they need deliverable ones, which makes them the best-normalised contact data in a practice.

The practice management system's numbers are often older, sometimes landlines, occasionally a relative's. Matching across the two is where most losses happen.

Normalisation runs first on both sides — country code, punctuation, extensions — and the match report shows what did not join rather than quietly dropping it.

Where the two systems disagree about a patient, the messaging system is usually right, because a wrong number there fails visibly and gets corrected. That makes it worth exporting the email column from both sides as a second key.
